PTA Meeting Minutes
November 16, 2006

Review of prior minutes
Nancy Sur read the minutes taken by John Wong in October
Approval of the minutes moved by Gary Goldsborough and seconded by Dave McIlhenny, with a unanimous approval.
Treasurer’s Report
Total assets for the PTA are $159.1K, with restricted funds of $85.8K
David McIlhenny presented a review of active and inactive restricted fund balances for various purposes and made recommendations for re-purposing the inactive restricted funds into the general fund.
David shared an analysis of by-grade PTA membership, donations, and average per student donations by grade. Discussion of the significant drop off in parent participation and donations in the 7th and particularly 8th grades. Request made that David add in parent contributions towards Outdoor Ed to look at total parent $ outlay by grade.
David reported that we’ve raised overall $79 over the amount needed for the new computers
Some classes have come up short in raising funds from their specific classes, and fund-raising efforts continue.
Expect a 0 balance after all computers purchased.
Discussion about equity of which classrooms got computers and how funds were raised for this purchase. In the future, this type of purchase should have more thorough planning and PTA should be involved in decision-making.
Greening Committee Report
Greening Committee has started process of hiring a landscape architect to prepare the next stage of plans and help develop a budget.
Committee needs to submit three names and solicit three bids. Next step is to set up criteria for selection, identify and interview candidates.
Materials with plan are posted on bulletin board at Scott with sheet soliciting comments.
Auction Committee Report
Sarah Moore has volunteered to help with coordination of auction item acquisition.
Room parents will be instrumental in item acquisition, and any class that does not have a room parent needs to get one.
New auction forms were printed up. Committee is trying to get them distributed prior to the Thanksgiving holiday. Donor letters to go out in December.
March 24 is the auction date.
Faculty Report
Carrie Landreth addressed PTA to discuss her plans for a trip to Costa Rica in June, $2800 per student for 6th graders and up (and parents).
Planning to do some serious fund-raising, and wanted the PTA to be aware
Gary suggested doing a car wash as a successful way to raise funds quickly.
Administrators’ Report
William Hack reported that the faculty is focusing on two priorities: 1) focused action plans for specific individual students and 2) tone and atmosphere in classrooms through positive and reward-based discipline
Discussion from last PTA meeting about room parents – every classroom has at least one – William developed a list and will share it next meeting
Construction timeline calls for upstairs, north end to start in February 5, 2007. The construction zone will be closed off to children for the duration with plywood walls.
Two new bungalows coming in - needed before the holidays for visual arts class and musical theater class. Plans currently call for them to come in on time.
Middle school sports is outstanding. Invited parents to come to games.
Thanked Gary and Antonella Goldsborough for running the car wash.
Enrollment fair is Saturday at Bill Graham Auditorium 9-3. Parents are invited to help out. Had 60 people on tour this morning at Madison campus. “Life at Lilienthal” will be run on a loop on a laptop.
Other Business
Gary congratulated Jim Thirtyacre for election to the Site Council.
